GENERAL STATEMENT:   Under direction of the Public Works Secretary, Public Works Director, and/or authorized representative, performs basic secretarial duties as required; performs routine or standardized duties involving choice of action within limits defined by standard practices and instructions and decision making that may affect accuracy of functional results. 

 

ESSENTIAL FUNCTIONS: 
Maintains primary responsibility for answering multi-line telephone, direct calls to appropriate extension, take messages and greet the general public, direct inquires, needs, complaints, and/or requests to the appropriate city department employee, or official.

-Collects and disburses mail on a daily basis. 
-Responds to public and customer inquiries either by phone, person, email or Partners Request. 
-Maintains department filing system. 
-Assists in typing various monthly reports for the Public Works Secretary/Director of Public
-Works and/or authorized representative. 
-Monitor radio and dispatches work orders once completed by crew, updates work order in system. 
-Assist with hand written work orders and enter in computer system. 
-Do a monthly report on outstanding work orders. 
-Maintain vehicle maintenance records and keep crew leaders informed as to which vehicle needs maintenance. 
-Assist with Street light log. 
-Maintains utmost confidentiality as to city matters in dissemination of duties.

Performs and/or supports other secretarial duties as required. 



Community Relations:
o Assists and participates in the resolution of conflicts.
o Maintains desired working relationship with Public Works Secretary and Public Works Director.
o Maintains a professional working relationship with other departments and employees. 

 

OTHER DUTIES AND RESPONSIBILITES:

Performs all other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

-Working knowledge of office practices and procedures. 
-Ability to remain calm and act resourcefully in an emergency. 
-Ability to operate the following:  computer, printer, telephone, copy machine, calculator, Fax machine, two-way radio and vehicle. 


QUALIFICATIONS, EXPERIENCE AND/OR CERTIFICATION REQUIREMENTS
High School Graduate or Equivalent required.  Preferred 2-3 years experience; or equivalent combination of training and/or experience which evidences a comprehensive knowledge of required job duties and expectations.  Knowledge of office computer systems to include word processing, spread sheets and data entry is required.  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  Anyone who poses a direct threat to the health and safety of himself/herself or to others in the workplace will be deemed not qualified for this position.
